Basics

How do I become a BTCA member?

To become a member, you firstly need to register on the BTCA website. Once you've registered, your logged in homepage will list the various membership tiers you can join. Simply select the membership tier you wish to sign up to and complete the online payment. Upon payment being successful, your membership will be valid and you will be immediately covered by any insurance policy and other member benefits assigned to the membership tier. 

If you try to register and the system informs you that your email address is already in use, then it will be the case that you have an account already with us. In such case, simply login or use the forgotten password link and a new password will be emailed to you, allowing you access back into your previously registered account.

I'm an LTA accredited coach, is there any benefit of me being a BTCA member too?

Absolutely, LTA accredited coaches have comprehensive insurance cover for their coaching services, but the LTA insurance policy doesn't include cover for the volunteers, parent helpers and assistants that support you in your group tennis sessions. This leaves you, or those volunteers/assistants, personally liable and at financial risk for accidents arising from their instruction within your sessions. The BTCA provide complete peace of mind for your coaching services by covering your volunteers, assistants and parent helpers within your sessions (for up to a maximum of 70 attendees in a single session) for public liability insurance. Our Silver Membership provides this volunteer and assistant cover independently whilst your LTA Accredited insurance covers you yourself. Gold and Platinum BTCA memberships cover you the coach for public liability insurance, employee liability insurance, property insurance and professional indemnity, and also covers your assistants and volunteers for public liability insurance too. Aside from bolstering up your LTA accreditation insurance with volunteer/assistant public liability insurance cover with BTCA Silver, or elevated insurance with Gold and Platinum, BTCA have carefully selected the most useful member benefits in their packages, including up to 25% of LTA coach qualification courses (in partnership with Coach Central), brand & marketing support with Creative (from Active Away), legal advice in the event of a dispute within your coaching environment, and, coaching service tech aids (such as the Automated Videoing Assistant https://ava.website) to name just a few, this therefore means there's plenty of good reason to be a BTCA member as well retain LTA accreditation too.

Can I attend the BTCA National Conference without being a BTCA member?

Yes, the BTCA National Conference 2024 for the first time is available to non-members. However, members get a sizeable discount voucher off the price of the conference making it worthwhile to join, especially with the added benefit of insurance and other member benefits that BTCA membership provides.

Where is my BTCA Membership Certificate located?

You can generate a membership certificate from your logged in homepage (dashboard). This certificate can be printed and displayed as required. 

Do I get a Membership Card after I subscribe to a BTCA membership?

Yes, but it's a digital membership card, not a physical card (we're environmentally conscious here at BTCA). After subscribing to a membership category, you can download your membership card to the 'Wallet' app on your phone (assuming you're using an Android or an Apple phone) from your logged in homepage (member dashboard). Your membership card lives in the 'Wallet' app of your phone (a native app on Android and Apple phones) and will disappear automatically if your membership expires or update itself with a new expiry date if the membership is renewed.

Can I upgrade or downgrade my BTCA membership from one tier to another?

You can upgrade your membership to a higher tier, which for now is a manual process of paying a top up fee and being assigned the higher membership tier (please contact us at support for this). You can't however downgrade your membership tier as the higher tier member benefits are assigned upon the membership being activated.

What tennis coaching qualifications do you accept for BTCA membership?

As an independent association for coaches, BTCA accept any recognised coaching qualification in the UK and overseas that has trained you to deliver coaching services individually and/or in a group. You must act within the training parameters of your highest coaching qualification in order for our public liability insurance to cover you. Please check with us if your highest coaching qualification is not an LTA, RPT, PTR or other such international coaching qualification (affiliated to a national tennis governing body of that country) so that we can be sure that your less mainstream coaching qualification is valid with us.

Do my volunteers and assistants need a DBS, safeguard training to be covered under BTCA's insurance?

No, your volunteers, assistants and parent helpers do not need to be DBS checked or safeguard trained in order to be covered for public liability insurance under BTCA public liability insurance cover. However, it's important to note that these volunteers, assistants and parent helpers are supporting you in your sessions where you, as a trained coach, have the experience and knowledge to spot red flags within your group tennis sessions. Your volunteers and assistants are not covered unless you, as the BTCA member, are leading the group or private coaching session in question. It's also important to note that our insurance cover clauses out molestation, therefore any claims arising as a result of molestation will not be settled under your insurance policy with the BTCA. We therefore strongly advise you to take extra care and diligence in spotting and reporting anything in your sessions that can be considered red flags in this regard.

Do I need a DBS, safeguarding, first aid training within last 3 years for BTCA membership?

No, you aren't required to have DBS, safeguarding and first aid training within the last 3 years to join the BTCA. Our linked coaching insurance policies don't require DBS, safeguarding and first aid qualifications within the last 3 years either. However, to become a BTCA member and be eligible for its insurance policies, you must have had a DBS, passed safeguarding training and passed Emergency First Aid at Work (EFAW) at some previous stage in your coaching development (typically, you will have achieved these as part of being granted your coaching qualification initially).

Where can I find the finer detail about the various insurance cover with BTCA?

BTCA provide insurance cover for Silver**, Gold and Platinum members in these areas:


Public Liability Insurance & Products Liability insurance - Public liability insurance covers yourself as a BTCA coach for accidental bodily injury to your clients in your private tennis lessons and group tennis sessions (up to a limit of 70 people participating in a group tennis session and an individual session length can be no more than 2 hours in length). It also provides the same cover for volunteers, assistants, parent helpers..etc that work in the sessions that you are delivering. Products Liability insurance covers accidental damage to the property of your clients within your coaching environment. Limit of indemnity: for public liability insrance and products liability insurance is £5,000,000 - Any one occurrence, including costs and expenses. Employers Liability Insurance Cover - Any employee of your limited company coaching business who sustains Bodily Injury which arises out of and in the course of their employment with you and within the working parameters of your coaching business (on court coaching) is covered for all sums which your coaching business becomes legally liable to pay as compensation, costs and expenses, provided that the incident is within the territorial limits of the UK up to a limit of £10,000,000 - Any one occurrence, including costs and expenses. Professional Indemnity Insurance - Covers your legal liability to pay compensation and claimants’ costs and expenses resulting from any claim alleging a breach of professional duty whether that duty is owed in contract or otherwise arising from any negligent act, error or omission of you as a qualified coach whenever or wherever committed or alleged to have been committed in connection with your tennis coaching activity, provided that your coaching activity is within the territorial limits of the UK. ** SIlver BTCA Membership requires the holder to be LTA Accredited at the time of ordering the membership and throughout the membership term of the BTCA Silver Membership. Insurance cover for Silver members provides cover only for areas not already provided by LTA coach accreditation insurance cover. The main area of BTCA cover for Silver members (not provided by LTA Accreditation insurance) is public liability insurance for assistants, volunteers and parent helpers in your group coaching sessions.

Does BTCA Silver Membership feature a different insurance policy than Gold or Platinum?

BTCA Silver Membership requires the coach to be LTA accredited in order for the membership tier to be valid when ordered. LTA accreditation needs to be maintained throughout the subscription to the Silver tier too. This is because we are offering a reduced rate membership fee to provide an enhanced insurance "bolt-on" to cover your assistants and volunteers when they support you in your group tennis sessions and any other insurance cover not already covered on your LTA Accreditation insurance policy.

It's the case that the same insurance policy is in place with Silver Membership as with Gold and Platinum. It's all one single insurance policy in place, but our policy has this item:

2.2 - 2.2.1 - Indemnity will not apply where indemnity is provided by any other insurance.

This means that whilst the same policy is in place for all, it won't insure the elements that you are already covered for elsewhere. A copy of the insurance policy and its cover can be seen within your membership area.

What is Public / Products Liability Insurance provided within Gold and Platinum BTCA Membership?

I've been a BTCA member in previous years, do I need to re-register to renew or join again?

If you've been a member with us previously, you should be able to log in to your previously registered account and sign up to a new membership tier with us. There's no need, and important you don't, register with us again creating a duplicate account. If you're unsure whether you're registered with us, simply try logging in with your usual email and password. You can use the forgotten password link to get a new password sent to your email. If you register from scratch and have an existing registration with us, then the system will inform you and not let you create another registration against that email address. You can therefore use the forgotten password link to gain access to your account. Alternatively, feel free to contact us for support and to check your registration status.

I've forgotten my BTCA login details, what should I do?

From the login page (https://www.btca.org.uk/login/) you need your email that you registered initially with the BTCA and password (created at the time you created your BTCA account or updated password if later changed). If you've forgotten the password, then simply press the 'password reset' link from the login page (https://www.btca.org.uk/login/).

You'll then get a password reset email (be sure to check your junk folder) and from clicking the 'Set New Password' link on the resulting email, you'll be directed to a page for you to choose a new password. After you've created a new password, you'll then be re-directed to the original login page where you'll need your email and the password that you just re-created.

Privacy

How do you use my personal details and how do you ensure my personal details and data are protected?

We take your personal details and privacy seriously. Your personal details and membership information is held securely in an electronic secure database with encrypted security. We also use secure socket layer technology (SSL) for browsing of the BTCA website.

We do not share, sell or disclose your personal details with anybody and only directors and senior executives of the BTCA have access to your information.

Those at the BTCA who have access to your data may use your data from time to time for the following purposes:

1 - To correspond to you directly about a matter on your account.

2 - To send a newsletter to you that we feel will be of interest to you as a BTCA member (you have the option to unsubscribe from newsletters).

3 - To relay information back to you, should you ask us to investigate something on your account on your behalf.

We will not be using your information other than for the purposes listed above.

We do however update our privacy policy, so please do check back here from time to time on any updates to the handling of your data and your privacy. Please be rest assured however, your privacy and handling of your data is of our highest priority to keep protected and used appropriately.
